01
Who Fieldwork is for
Fieldwork is intended for use by coaches, who are adults. It is not directed to children. See Children's privacy for how information about players, who may be minors, is handled.
02
Information we collect
Account information
When you create an account we collect your email address, your coach display name, and a hashed version of your password. If you add a profile photo, we store that image. We use your email to sign you in, to send password resets, and to contact you about your account.
Team and player information you enter
Fieldwork stores the team and player information you add, including player names, jersey numbers, positions, league age, lineups, fielding assignments, pitch counts, rest days, and game and player statistics. Some of this information may relate to players who are minors. You enter this information as the coach, and you are responsible for having the right to do so. See Children's privacy.
Roster import photos
If you use the roster photo import feature, the photo you take is sent to our server and passed to a third-party AI provider (Anthropic) to read the player names and numbers. The extracted text is saved to your roster. The photo itself is not stored — it exists only in memory for the duration of the request and is discarded once the text has been extracted.
Player profile photos
Player and coach profile photos are stored and served through Cloudinary so they can be displayed in the app. Because players may be minors, player photos are stored privately. See How we protect your information.
Data stored on your device
So the app keeps working at fields with poor service, it saves a copy of recently loaded team, roster, and game data on your phone, along with any changes you make offline until they sync. This copy and any unsynced changes are deleted from your phone when you sign out.
Subscription information
Subscriptions and trial status are managed through RevenueCat and the app store you purchased from. We receive your subscription status, entitlement, and purchase history so we can unlock paid features. We do not receive or store your full payment card details — those are handled by the app store.
Information collected automatically
Our hosting provider keeps standard server logs, which may include IP address, device and request information, and timestamps. We use these logs to operate the service, diagnose problems, and protect against abuse.
Website analytics
Our website, fieldworkbuilt.com, uses Google Analytics to understand how visitors find and use it, such as which pages are viewed and which buttons are clicked. Google Analytics uses cookies and collects information like pages visited, approximate location, and device and browser details. The Fieldwork app does not use Google Analytics. We do not use advertising software, and we do not track you across other apps or websites.
You can block analytics cookies in your browser settings or install Google's opt-out browser add-on at tools.google.com/dlpage/gaoptout. Learn how Google uses this information at policies.google.com/technologies/partner-sites.
03
How we use your information
- To provide and operate Fieldwork, including lineups, fielding assignments, pitch and rest tracking, and player insights.
- To generate AI features such as roster photo import, batting order suggestions, and fielding suggestions.
- To manage your account, authenticate you, and process subscriptions.
- To send transactional email such as password resets and account or feedback notifications.
- To maintain the security, integrity, and reliability of the service.
- To understand how visitors use our website so we can improve it.
We do not sell your personal information, and we do not use it for third-party advertising.
04
AI features and how your data is processed
Several Fieldwork features use Anthropic's Claude API. When you use the roster photo import, AI batting order, or AI fielding suggestions, the relevant data — such as a roster photo or your roster and stats — is sent to Anthropic to generate the result. Anthropic processes this data as our service provider solely to return the requested output. Under Anthropic's commercial API terms, this data is not used to train its models. You can review Anthropic's practices at anthropic.com/legal/privacy.
06
Data retention and security
Retention
We keep your account and team data for as long as your account is active. If you delete your account or ask us to delete your data, we remove it from our active systems within a reasonable period, except where we need to retain limited information to meet legal, security, or accounting obligations. Roster import photos are not retained, as described above. The copy of your data kept on your phone for offline use is deleted when you sign out.
How we protect your information
- In transit: all data sent between the app, our website, and our servers is encrypted using HTTPS.
- At rest: our database and servers run on Google Cloud (Cloud SQL and Cloud Run), which encrypts stored data at rest.
- Accounts: passwords are hashed on our servers using bcrypt and are never stored in plain text. Sessions use a signed token stored on your device.
- Team access: team and player information is visible only to coaches who are members of that team. Our servers check membership on every request for team data, and there are no admin screens for viewing player data.
- Our access: we do not browse coach or player data. Direct access to the database is limited to Fieldwork's founder and is used only for support, troubleshooting, and keeping the service running.
- Player photos: stored privately with Cloudinary and viewable only through links our servers sign, which are given only to coaches on that player's team. A photo can't be opened without a signed link, though like any link, a signed link can be opened by anyone it's shared with.
- Coach photos and team logos: shown through regular links, so anyone who has one of those links can view it.
No method of storage or transmission is completely secure, but we take reasonable measures to protect your information.

Children's privacy
Fieldwork is designed for and directed to coaches, who are adults. Children do not create accounts and are not the intended users of the app. We do not knowingly collect personal information directly from children.
Coaches may enter information about players, some of whom are minors, such as names, jersey numbers, league age, and performance statistics. This information is entered by the coach for the purpose of managing the team. As the coach, you are responsible for entering only the information you are permitted to enter and for following any rules of your league or organization regarding player information. We handle this information under the same protections described in this policy and do not use it for advertising or sell it. If you believe a child's information has been provided to us and should be removed, contact us and we will address it promptly.
